Privacy Policy.

What we collect, why we collect it, who it goes to, and how to get it removed. Written to be read, not to be skipped.

The short version

We collect what you type into our forms, what you send our chat assistant, and standard analytics about how the site is used. We use it to reply to you and to run the studio. We do not sell it, we do not rent it, and we do not buy contact lists or cold call. If you give us your phone number, we may call or text you about what you asked us about, and nothing else.

This policy covers avoxan.com and the services Avoxan provides through it. Avoxan is the trade name of Akarshan Digital LLC, a limited liability company based in Houston, Texas. "Avoxan," "we," "us," and "our" mean Akarshan Digital LLC. Questions about anything below go to hello@avoxan.com.

1. Information you give us

Forms

Our contact and demo forms ask for some combination of your name, business name, email address, phone number, website address, industry or trade, whether you offer emergency service, roughly how many calls you miss per week, a preferred demo time, the best way and time to reach you, and whatever you write in the message field. Required fields are marked; everything else is optional.

Form submissions are emailed straight to our inbox. They are not added to a marketing list.

Booking a call

If you schedule a call through the booking widget on our contact page, the scheduling is handled by Calendly, and the details you enter there, such as your name, email address, and any answers you give, are collected by Calendly and passed to us.

The chat assistant

"Ask Avoxan" is an AI chat assistant. What you type is sent to our AI model provider to generate a reply, and the conversation is kept in your browser for the length of that browsing session so the thread survives a page change. Please do not type anything confidential or sensitive into it. It is a sales and support assistant, not a secure channel.

Email and phone

If you email or call us, we keep that correspondence so we can answer you and keep a record of what was agreed.

2. Information collected automatically

Like most websites, ours collects some information on its own:

  • Analytics. We use Google Analytics to understand how the site is used, including pages viewed, approximate location derived from IP address, device and browser type, referring site, and general engagement. We use this in aggregate to improve the site.
  • Server and security logs. Our host records standard request information, including IP address, for delivery, performance, and abuse prevention.
  • Browser storage. We store your light or dark theme preference in your browser, and chat history for the current session, as described above. Neither is sent to us as a profile of you.

3. How we use information

  • To reply to your inquiry and schedule and hold a call.
  • To prepare a proposal and, if you hire us, to carry out the work and support it afterward.
  • To send service messages related to your project or subscription, such as scheduling, approvals, invoices, and launch notices.
  • To operate, secure, and improve the website.
  • To meet our legal, tax, and accounting obligations.

4. Text messaging and mobile information

When you provide your phone number through a form on this site, or give it to us directly, you agree that Avoxan may contact you by phone, and by text message, about the inquiry you made and about services you have asked us about or purchased. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of text messages at any time, or HELP for help. You can also email hello@avoxan.com to be removed. Consent to receive text messages is not a condition of any purchase.

We do not send promotional or marketing text messages, we do not text people who have not contacted us, and we do not buy, rent, or use purchased phone lists.

Mobile information sharing

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. Who we share information with

We do not sell or rent personal information, and we do not share it for anyone else's marketing. We do use a small number of service providers to run the site and the business, and information passes through them:

  • Cloudflare — website hosting, content delivery, and security.
  • Resend — delivery of form submissions to our inbox.
  • Google — Google Analytics, and Google Fonts, which loads fonts from Google's servers when you view a page.
  • Calendly — call scheduling, if you use the booking widget.
  • Groq — the AI provider that generates chat assistant replies.
  • Our email and file storage providers — to hold correspondence and project files.

We may also share information when the law requires it, to protect our rights or someone's safety, or as part of a sale or transfer of the business, in which case this policy would follow the information.

Our team and our providers operate from the United States and other countries, so information may be processed outside the state or country you live in.

6. Information we handle for our clients

When a business hires us for the AI Receptionist, we handle information about that business's callers, which can include names, phone numbers, call details, and message content, depending on how the service is set up. We process that information on our client's behalf, to provide the service, and under our agreement with them. Our client is responsible for its own privacy notices to its callers and customers. If you called a business that uses Avoxan and want your information handled differently, contact that business directly, or write to us and we will pass your request along.

7. Cookies and tracking

Google Analytics sets cookies to measure site usage. You can block or delete cookies in your browser settings, and Google offers a Google Analytics opt-out add-on. Blocking them does not stop you from using the site. We do not run advertising pixels or cross-site ad tracking on this site. Because there is no common standard for them, we do not currently respond to "Do Not Track" browser signals.

8. How long we keep information

Form submissions and correspondence stay in our inbox and records for as long as they are useful for the relationship, and afterward as long as we need them for tax, accounting, or legal reasons. Client project files are kept for the life of the engagement and a reasonable period after. Analytics data follows the retention period set in Google Analytics. You can ask us to delete what we hold, subject to those obligations.

9. Security

The site is served over HTTPS, access to our inbox and project files is limited to the people who need it and protected by strong authentication, and we keep the number of places your information lives deliberately small. No system is perfectly secure, and we cannot guarantee absolute security, but if a breach affects your information we will tell you as the law requires.

10. Your choices

You can ask us to tell you what personal information we hold about you, correct it, delete it, or stop contacting you. Email hello@avoxan.com and we will respond within 45 days. Depending on where you live, you may have additional rights under your state or national law, and we will honor them. We will not treat you differently for exercising any of these rights.

11. Children

This site is for businesses and is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has given us information, email us and we will delete it.

12. Changes to this policy

If we change this policy we will update the date at the top of the page. Material changes will be noted on this page.
